This policy explains how Shou Health handles information when you read the site, join or leave the letter list, or send a planning message. We wrote it in plain language because medical websites are easier to trust when they say exactly what they collect.
We do not ask for a phone number or a street address. Please do not add them. If you paste them into a free-text box, we will avoid using them and may delete that extra detail.
1. Who is responsible
Shou Health is responsible for the information described here. You can reach the desk at care@shouhealth.com. That email is the privacy contact as well as the care-desk contact. We do not operate a separate postal channel on this website.
This policy applies to shouhealth.com and to letters we send because you asked for them. It does not apply to emergency services, to hospitals you visit later, or to social networks you open from a share button. Those organizations have their own policies.
2. Information you give us
Appointment, contact, clinician, subscribe, and unsubscribe forms ask for details you type. Depending on the form, that can include your name, email address, preferred clinician, visit type, preferred date and time, letter topics, a reason for leaving the list, and a short message.
Please keep messages general. Do not send clinical photographs, identity numbers, insurance identifiers, or full medical records. Those items are not required for a planning request, and a text box is a poor place for them. If a message contains more sensitive detail than we need, we may delete the extra portion and ask you to resend a shorter note.
If you write about a child or another adult, send only what is necessary to route the request, such as an age range and the topic. You confirm that you have the authority to share even that limited information.
3. Information collected automatically
This static website does not run an advertising tracker and does not set its own analytics cookies. Your browser will still do ordinary technical things when it requests a page, such as sharing an address so the page can be delivered. Hosting providers may keep short-lived technical logs, including a timestamp and a browser type, to keep the site secure and to understand outages. We do not use those logs to build a marketing profile.
The site loads fonts from a font service so headings and text match the design. When your browser requests those fonts, the font service receives the technical data needed to send the files. That request is governed by the font service as well.
Forms are checked in your browser. The checks for a valid email, a name, a date, and a message length happen on your device. A success message means the page accepted the entries you typed. It is not a medical record number and it is not proof that a clinician has already read the note.
4. How we use information
We use form details to reply to you, to match a request with a clinician profile, to send the letters you joined, and to remove you from the letter list when you ask. We use messages to understand which topics the journal should explain more clearly. We do not sell personal information. We do not rent email addresses. We do not trade lists with other clinics.
We may use a message to protect the desk, for example if it contains abuse, a security threat, or content we are not allowed to store. We may use correspondence to show what was requested if a disagreement arises about a planning tier. We do not use your words to train a public advertising audience.
5. Legal reasons we rely on
We handle information because you asked us to, because we need it to answer that request, and because we have a legitimate reason to keep a short record of correspondence. Where a rule requires consent, the checkbox on the form is that consent. You may withdraw consent for letters at any time on the unsubscribe page. Withdrawing consent for a letter does not erase a separate duty we may have to keep a copy of a safety-related message for a limited time.
We do not ask you to agree to this policy by hiding it in a footer only. The forms repeat the important limits: a request is not an emergency service, and email is how we reply.
6. Sharing
We share information with people who need it to do the work you asked for. A coordinator may see an appointment request. The clinician you named may see the short brief if a conversation is arranged. A technical host may process the message so email can be sent. Those helpers may use the information only to provide the service, not for their own marketing.
We may disclose information if the law requires it, or if we must protect someone from serious harm. We will not volunteer your story to an employer, a school, or a family member who writes to us without a clear basis. If a guardian wrote the original request, replies go to the email on that request.
Share icons pass our public web address to the network you choose. They do not pass your form contents. Do not forward a clinician’s reply to a public feed if it contains your own details.
7. Email letters
Subscription information includes your name, email, the topics you ticked, and the fact that you consented. We use it to send a few letters each month and to honor an unsubscribe. Topic ticks help us choose subjects. They are not a medical inference, and we do not score your health from them.
If a letter fails to send, we may try again. If you mark messages as unwanted, we treat that as a request to stop. The unsubscribe form asks for the email that should be removed and a reason, so we do not remove the wrong person.
8. How long we keep information
We keep appointment and contact messages for as long as needed to complete the request and for a limited period afterward so we can answer follow-up questions and resolve mix-ups. A typical planning thread is kept only while it is active and for a short archive after the last reply, unless a longer keep is required to handle a complaint.
Letter-list details are kept until you unsubscribe, and then removed or reduced to a simple suppression note so we do not email you again by mistake. Technical logs, if the host creates them, are kept for a short operational window and then dropped or aggregated.
You may ask us to delete a message sooner. We will do so unless we need a fragment to prove that we stopped emailing you, to meet a legal duty, or to document abuse of the forms.
9. Security
We use reasonable care to protect messages: limited access, careful inboxes, and a preference for collecting less. No website can promise perfect security. You can lower risk by using a current browser, by not sending records we did not ask for, and by avoiding shared computers for form replies.
Email itself is not a vault. Do not use it for information you would be distressed to see misdirected. If you believe a message reached the wrong person, write to care@shouhealth.com and tell us the date of the note.
10. Children
The site is written for adults arranging care, including parents and guardians. We do not knowingly collect information directly from a child. If you believe a child sent a form, email us and we will delete what we can identify. Children’s planning requests should come from an adult and should omit photographs and unnecessary detail.
11. Your choices and requests
You may ask for a copy of the information we hold about your email address, ask for a correction, or ask for deletion. You may object to a use that is not required to answer you. You may unsubscribe without giving a long reason, though the form asks for one so we can improve. Send requests to care@shouhealth.com from the same address you used, so we can be sure we are writing to the right person.
We may ask you to clarify which form you mean. We will not ask you to mail identity documents to a street address, because we do not collect mail at a published address. If we cannot match your request to a message, we will say so.
Where the rules of your region give you a right to complain to a privacy authority, you may use that path. We would like the chance to resolve the issue first.
12. International readers
People write to the desk from many places. Your information may be handled where our email and hosting providers operate, which may be outside the place you live. We ask those providers to protect it and to use it only for the work described here. By sending a form, you understand that an email reply has to travel to you.
13. What we do not do
We do not sell personal information. We do not buy mystery lists. We do not ask for payment card numbers on these pages. We do not run a patient portal with a password on this website. We do not use form text to advertise products to you. We do not claim that a browser success message means a clinician has reviewed a diagnosis.
14. Changes to this policy
We will post updates on this page and change the date at the top. If a change meaningfully expands how we use email addresses, we will describe it in a letter to current subscribers before relying on the new use. Old journal pages may mention privacy in shorter words; this page is the detailed version.
15. How to reach us
Privacy questions, correction requests, and deletion requests go to care@shouhealth.com. Please put “Privacy” in the subject line. Include the email address you used and, if you remember it, the form you completed. Do not include a phone number or a street address. We will reply by email.
